Customer Orders import field reference and situation how-tos

What this covers

This article explains which columns to include in a Customer Orders import for common tasks, which fields are required, and what every Customer Orders import field does. It applies to both the [Basic Importer] and the [Admin importer].

Field names below are the Zenventory defaults. If your company renamed fields in the Lexicon, your screens and sample file show your names instead.

Required for a basic order

  • Order Number
  • SKU
  • Quantity
  • Shipping Address 1
  • At least one of: Account Number, Name, Surname, or Customer Email

All other fields are optional. The Situation how-tos above cover the fields needed for other tasks, like holds, shipped orders, and addresses.

Mapping reference table

This table lists every field on the Customer Orders import mapping screen, in the same order and under the same section headings (Customer Order, Customer, and Item). Use it to decide which of your file's columns to map to each field, and to check that your data is in the right format.

For each field, the table shows:

  • What to map this to for Customer Orders: what the field does on the order, customer, or item.
  • When is this field required?: whether the field is always needed, needed only in certain cases, or optional.
  • Format: the type of value the field accepts, such as text, number, date, or Y/N, and its character limit.

Some fields, like Userfield1 to Userfield3, MyList1, MyList2, and Warehouse Name, only show on the mapping screen when they're turned on for your company.

Field names are the Zenventory defaults. If your company renamed fields in the Lexicon, your mapping screen shows your names instead.

Mapping Field What to map this to for Customer Orders When is this field required? Format
Customer Order
Order Number The order's number. Rows for the same order must be next to each other in the file. The order and customer details are taken from the order's first row. Reimporting a placed order updates the order details only, not the line items. Previously cancelled orders are rejected. The same number under a different client gets " - clientid" added. Required Text, 50 characters
Order Reference An external or secondary reference number for the order (e.g. a marketplace order ID). On a reimport, a blank cell clears the saved value. Optional Text, 50 characters
Order Source The system or channel this order came from (e.g. a store name or platform). Blank saves as "CSV Import", including on a reimport. Optional Text, 20 characters
Placed On The date and time the order was placed by the customer. Slash dates are read as month/day, so 15/01/2024 will not work. Optional Date or date and time, YYYY-MM-DD or MM/DD/YYYY
On Hold Set to Y to place the order on hold. This will prevent it from being allocated and fulfilled until released. Any value except blank or 0 turns it on, so N also holds the order. On reimport, blank leaves the current hold status alone. Optional Y (or 1) to hold, leave blank for no hold, 1 character
Hold Until The date the hold should automatically be released. A future date holds the order even if On Hold is blank. A past date releases the hold even if On Hold is Y. Optional Date (e.g. 2024-01-15)
Completed On The date the order was completed. Does nothing on its own. Only used together with Already Shipped = Y. If blank, the import time is used. Optional Date (e.g. 2024-01-15)
Already Shipped Set to Y if the order has already shipped outside Zenventory. The order is marked completed and a shipping record is created. Completed On sets the completed date. If blank, the import time is used. Optional Y or N
Ship Via The shipping carrier or service code to use for this order. On a reimport, a blank cell clears the saved value. Optional Service code, 50 characters
Ship Via Confirmation The shipping confirmation code for this order. On a reimport, a blank cell clears the saved value. Optional Confirmation code, 50 characters
Ship From The name of the warehouse this order ships from. If blank, or if the name isn't found, the Active Warehouse is used. There's no error for a name that isn't found. Optional Text, 50 characters

Internal Notes Internal notes about this order, visible to staff only, not the customer. On a reimport, a blank cell clears the saved value. Optional Text, About 65,000 characters
Notes From Customer A note or message provided by the customer when placing the order. On a reimport, a blank cell clears the saved value. Optional Text, about 65,000 characters
Notes To Customer A note to include with the customer's shipment. On a reimport, a blank cell clears the saved value. Optional Text, about 65,000 characters

Situation how-tos

Situation Columns to include What to know
Import an order with several items • Order Number (the same on each row)
• SKU
• Quantity
• The order and customer columns (first row only)
Use one row per item and keep an order's rows next to each other. The order and customer details are taken from the order's first row. If rows for the same order are split up in the file, the later rows' items are dropped.
Import orders for a client (3PL) • Select the client in the import window (there's no client column) Customers and new items are created under that client. An order number that's already used by a different client gets " - clientid" added to it.
Match orders to existing customers • Account Number
• or Name, Surname, and Customer Email
• or Name, Surname, and the full shipping address
If an Account Number is given, Zenventory only matches on it. Without one, the Name and Surname must match, plus either the Customer Email or the full shipping address. If nothing matches, a new customer is created. Details in the file update the matched customer, and blank cells keep what's saved.
Bill to the shipping address • The Shipping address columns
• The Billing address columns, with the same values
The order's billing address always comes from the Billing columns. If they're blank, the billing address is saved as a blank address. When the Billing columns match the shipping address, Zenventory uses one address for both. Use as Billing Address = Y only marks the shipping address as a billing address on the customer's record. It doesn't fill in the order's billing address.
Save an address as the customer's default • Default Shipping = Y
• Default Billing = Y
Any value in these columns sets the address as the default, including N. Leave the column out if the address shouldn't become the default.
Choose the warehouse the order ships from • Ship From Enter the warehouse name. If it's blank, or the name isn't found, the Active Warehouse is used. There's no error for a name that isn't found.
Set the shipping method • Ship Via
• Ship Via Confirmation
Enter the service code and confirmation code.
Set the price on each line • SKU
• Quantity
• Sales Price
Sales Price is the price per unit on that line. If it's blank, the item's saved sales price is used.
Order items that aren't in Zenventory yet • SKU
• Quantity
• Description
• Any other item columns
The item is created and marked as needing approval. Item columns are only used for new items. For an existing SKU, only Recommended Retail Price is updated, and only when it's above 0.
Order kits • SKU (the kit's SKU)
• Quantity
The kit's components are added to the order. An order is only skipped if no lines are left, for example a kit with no components.
Put orders on hold • On Hold = Y
• Hold Until (optional)
Any value in On Hold except blank or 0 holds the order, so N also holds it. A future Hold Until date holds the order even when On Hold is blank. A past date releases the hold.
Import orders that already shipped • Already Shipped = Y
• Completed On (optional)
The order is marked completed and a shipping record is created. If Completed On is blank, the import time is used.
Update existing orders • Order Number
• Every order column you want to keep, not only the ones you're changing
Only the order details are updated. Line items aren't added, changed, or removed. Order Reference, Buyer Paid Shipping, Internal Notes, Notes From Customer, Notes To Customer, Ship Via, and Ship Via Confirmation are replaced by the file, even when the cell is blank. Order Source resets to CSV Import if it's blank. Userfields and MyLists only change when their column is in the file. A blank Placed On or On Hold keeps the saved value. Cancelled orders are rejected. Client orders that have started picking are skipped when edits to picked client orders aren't allowed.
Allocate imported orders • No extra columns With the Basic Importer, new orders are allocated during the import. With the Admin importer, click Allocate Inventory for Imported Orders after the import finishes.

How the import handles new and existing orders

How does Zenventory know which rows belong to the same order?

Rows with the same Order Number become one order, with one item per row. Keep an order's rows next to each other in your file.

  • The order and customer details are taken from the order's first row. You only need to fill them in once per order.
  • If rows for the same order are split up in the file, the later rows' items are dropped.

Will my file create new orders or change existing ones?

Zenventory checks each order's Order Number.

  • If the Order Number isn't in Zenventory yet, the import creates a new order.
  • If the Order Number already exists, the import updates that order's details. Line items on an existing order aren't added, changed, or removed. Most order details are replaced by your file, even when a cell is blank, so include the current values of any details you want to keep. See Update existing orders in the Situation how-tos.
  • Orders that were cancelled can't be imported again.

If you use 3PL features, select the client in the import window. An order number that's already used by a different client gets " - clientid" added to it.

What happens to the customer on each order?

Zenventory looks for an existing customer before creating a new one.

  • With an Account Number, it only matches on the Account Number.
  • Without one, the Name and Surname must match, plus either the Customer Email or the full shipping address.
  • If nothing matches, a new customer is created.
  • For a matched customer, details in your file update the customer, and blank cells keep what's saved.

What happens to items on the order?

  • A SKU that's already in Zenventory uses that item. The item columns in your file don't change it, except Recommended Retail Price.
  • A SKU that isn't in Zenventory yet creates a new item, using the item columns in your file. New items are marked as needing approval.
  • If the SKU is blank, the Description is used as the SKU. A row with no SKU and no Description is skipped without a message.
